Appointments Overview

What Is the Appointments Feature? The Appointments module in Voxys Connect lets your team schedule, manage, and track customer appointments directly within the platform. It connects to your calendar providers so bookings stay in sync across your business tools. Use Cases - Service businesses β€” Book consultation calls, demos, or site visits. - Healthcare β€” Schedule patient appointments and send reminders. - Retail β€” Book fitting sessions, personalised shopping, or in-store events. - Education β€” Schedule tutoring sessions or onboarding calls. How It Works 1. You set up one or more service providers (e.g. team members or service types). 2. Each provider has an availability schedule. 3. Customers (or agents on their behalf) book a slot. 4. A WhatsApp confirmation message is sent automatically using a template. 5. Reminder messages are sent 24 hours and 1 hour before the appointment. 6. The appointment appears in the linked calendar (Google Calendar, Outlook, etc.). Setting Up Appointment Providers

What Is a Provider? A provider is any person or resource that customers can book time with. This could be a sales agent, a support specialist, a doctor, or a meeting room. Adding a Provider 1. Go to Settings β†’ Appointments β†’ Providers. 2. Click New Provider. 3. Fill in: - Name β€” The provider's display name. - Email β€” Used to sync with their calendar. - Linked Agent β€” Associate with a Voxys Connect agent account (optional). - Calendar Integration β€” Connect Google Calendar or Outlook. 4. Click Save. Setting Availability Open the provider's profile and go to the Availability tab: 1. Toggle on the days they are available (e.g. Mon–Fri). 2. Set start and end times for each day. 3. Set the Slot Duration (e.g. 30 minutes, 1 hour). 4. Set a Buffer Time between appointments to avoid back-to-back bookings. 5. Add Break Times (e.g. lunch 13:00–14:00). Services Services define the type of appointment. For example, "15-Minute Intro Call" or "60-Minute Consultation". 1. Go to Settings β†’ Appointments β†’ Services. 2. Click New Service. 3. Set name, duration, and optionally link to a specific provider or allow any available provider. Calendar Integration Connecting a calendar ensures the provider's booked appointments block their availability and existing calendar events prevent double-booking. Google Calendar: 1. Go to the provider profile β†’ Integrations. 2. Click Connect Google Calendar. 3. Authorise with the provider's Google account. 4. Select which calendar to sync. Outlook (Microsoft 365): Same flow via Connect Outlook Calendar. WhatsApp Confirmation Templates Go to Settings β†’ Appointments β†’ Templates to set which WhatsApp template is sent as a booking confirmation. The template must be approved and should include variables like {{customer_name}}, {{service_name}}, {{appointment_date}}, and {{appointment_time}}.

Booking and Managing Appointments

Booking an Appointment for a Customer Agents can book appointments on behalf of customers directly from a conversation. 1. Open the conversation. 2. In the right panel, click Appointments β†’ New Booking. 3. Select the service and provider. 4. The calendar shows available slots. Click a slot to select it. 5. Confirm the customer's name and phone number. 6. Click Confirm Booking. A confirmation WhatsApp message is automatically sent to the customer. Self-Service Booking Link Each service can have a public booking page URL that you can share with customers. Customers open the link, pick a slot, and confirm β€” no agent involvement needed. The booking appears instantly in the dashboard. To find the booking link: Settings β†’ Appointments β†’ Services β†’ [Service Name] β†’ Booking Link. Viewing Upcoming Appointments Go to Appointments in the sidebar to see all upcoming bookings in a list or calendar view. Filter by provider, service, or date range. Rescheduling 1. Open the appointment from the list. 2. Click Reschedule. 3. Select a new slot. 4. A new confirmation message is sent to the customer automatically. Cancelling an Appointment 1. Open the appointment. 2. Click Cancel. 3. Optionally add a cancellation reason. 4. A cancellation WhatsApp message is sent to the customer. Reminder Messages Voxys Connect sends automatic WhatsApp reminders: - 24 hours before β€” "Your appointment is tomorrow at {{time}}." - 1 hour before β€” "Your appointment starts in 1 hour." Reminder templates are configured in Settings β†’ Appointments β†’ Templates. Appointment Notes Add internal notes to any booking (not visible to the customer) for context such as "Customer prefers English" or "Second visit, had issue with product X". No-Shows Mark an appointment as No Show if the customer did not attend. This is recorded in the appointment history and can be used in reports.
